Consumer’s Title Company’s Title Department Goes Green

Thanks to a program called GreenFolders, Consumer’s Title Company of Southern California’s Title department is about 90 percent paperless.

The company started a paperless program when it first opened for business April 6, 2009, to become more efficient and also to help the environment. “We have since changed programs to one that is more efficient, reliable and cost-effective,” said Title Operations Manager and Vice President Roxanne Danielsen.

“All of our title files are created, updated, maintained, closed and stored through a digital file,” Danielsen said. Now when a client calls, their file literally is at the Title officer’s fingertips. “We can access the files within seconds and have access to everything,” she said.

That includes request for title opening, the title search including the supporting documents and starters to the Preliminary Title Report, Supplemental Reports, date downs (computer updates), recording documents, lender’s instructions and title policies plus all communications including e-mails. “We also have the ability to store voicemails from a digital phone,” she said.

Digital files not only save them time in assisting clients, making the staff more efficient, but also saves the company a lot of money by not having to rely on paper. Danielsen said files no longer clutter their desks or offices and the need for storage is now very minimal.

“We maintain a copy of the recording documents and correspondence in our hard-copy title file for auditing purposes but everything else is stored within GreenFolders,” Danielsen said. “We anticipate being 100 percent paperless in the very near future.”

Joseph Beckerle, Consumer’s Title president, said the paperless office, or “green” office, is a concept of the company’s original business plan that utilizes technology to decrease the amount of paper in an office in order to save space, cut cost, share information, and be environment friendly. “Since our inception, the idea of paperless files has become a reality in the title files that we compile on every transaction. We will continue to take this idea and go beyond its original conception,” Beckerle said.
